Blog Entry
On Thursday, August 2nd, the GroupWise Engineering team presented all of the features and functionality that they completed between milestone two and milestone three. It was very exciting! As much as we have talked about and discussed all of the new features in the Windows Client, there were several other components in this demo that stole the show.
Let me back up... During the development phase of Bonsai, we planned three major milestones. At the end of each milestone, the engineers present or demo what they have accomplished or what is 'code complete' at the end of that milestone. We have been presenting and completing features and functionality all along. This was the final milestone demo. We have been anticipating a bunch of new features and functionality in WebAccess. It was my belief that it would be the highlight of this demo. It certainly was - BUT to my surprise there were a few other components that really have come a long way and were equally impressive.
First up - Linux/Mac Client. This was the first demo of the day. Ron and Doug spent an hour going through all of the features that are finally code complete in this client. Let me list a few: Notify, Change To, Home Folder, Navigation Bar, Schemes, Panels View, Web Page in a Panel, POP/IMAP Account Support, Find, and Discussion View. We also added several end-user options and preferences that have been missing. A lot of work has also gone into stability and performance (start-up, deleting message after message, moving from folder to folder, etc.) Those of you on Linux and Mac - you will be so pleased! It still might not have everything, but it was designed to meet 'all' of the most sought after features.
WebAccess was next. The virtual message list is sooo cool!! Improved calendaring, with multiple calendar support, day, week and month views. Publish Calendar, Quick Filter, Improved Address Book support, HTML compose, Spell as you go, TimeZone and Multi-language support, and message list column management. If you have users that love the web, but hate some of the quirky issues - make sure you get a look at the new Bonsai WebAccess. Kevin's team has done some outstanding work and a lot of building blocks have been put in place for more, quicker features in future versions. Sirisha's Calendar efforts are impressive - you will love the interaction! My Windows engineers are jealous!
Install - new technologies, fewer prompts, more intuitive. We have revamped install with the latest versions of InstallShield and DemoShield. We have moved off of old technologies that have made the install awkward and clunky. Backend installs are all new - install all the agents at once - no more separate installs. System Creation without having to install ConsoleOne first. Corey's efforts here will pay big dividends as upgrades and rollouts become easier and more manageable.
PDF indexing - Kent demonstrated how we are using the Stellent technology to be able to index and search any file type that the Stellent viewers support. You asked for this functionality and now it will be part of Bonsai.
Windows Client - Most of the windows client has been code complete for a couple of months. During milestone three, there were finishing touches put on a several features. Task management continues to improve, the merging of CheckList and Tasklist is now complete. Printing of Checklist items is now working. RSS support was demo'd. Favorites folder is now part of the product and the completion of Contact Management features like Notes/Contact association. Global Contracts Search control, new style sheets and photos in the style sheets. We also finished off several small calendar enhancements like 'Recurring Appointments' only showing one entry in your in-box, Auto-Accept of your own appointments, Time Selector dialog offers Time Zone Selection. - just to name a few.
Publish/Subscribe Calendars host was also demonstrated. Being able to extend your calendar information outside your organization is going to be big. Free/Busy info, HTML rendition of your calendar data by just hitting a link in a browser. Another feature that stole the show!!
It's difficult to mention everything - but this was a great demo! Reminder - this was only features that were completed between milestone two and milestone three. We had two other milestones with tons of other features hitting code complete.
Want to see the latest stuff - come to the GroupWise Advisor Summit. September 30th to October 4th in Miami. I will be there with Product Management and a few members from my team.

I see no mention of alarms
Submitted by john (not verified) on 5 August 2007 - 5:19am.
I see no mention of alarms (notify ). I just spent a year with Notes and it sucked big time as a mail client but at least it has alarms with a snooze that worked. You say the windows has been code complete for months well how about getting someone to understand what is wrong with the alarm and snooze system on GW client. A reminder - you cant alarm (duh) why call it a reminder. And maybe if you stopped calling it notify then someone may get the fact that it is pathetic. Or do you think we all want to know when we get a new mail message but we dont want to be reminded of an appointment. And I hope you have worked out that contacts need to be something we can import and export using open standards like csv or the like.
Thunderbird has a better alarm system then GW maybe you could learn from them or take it up as Mozilla is casting it adrift.
cheers - p.s. you do know bonsai means "dwarfed" which means "To become stunted or grow smaller"

Submitted by Dean Lythgoe (not verified) on 5 August 2007 - 1:51pm.
Which client are you asking your questions about?
Notify (Alarms) has been part of GroupWise in the Windows Client for about 15 years. Notify is particularly used as reminders for appointments, but they also - as you mentioned - work when you get new mail. You can Alarm, Snooze, etc. If you are having problems - we would be happy to help you. I use Notify everyday - Alarms/Reminders for Appointments being the only reason I use it. If it is not working for you - it is usually a configuration error and easily resolved.
In Bonsai, Notify will also be part of the Linux Client. You say there is no mention - but it is part of this blog. Notify is not a feature in WebAccess yet.
Contact Management is a showcase feature of Bonsai. There are other blogs posted that give more detail about Contacts and Contact Management. Specifically mentioned are the support for import/export open standards like CSV. This is a new feature in Bonsai.
The more you learn about Bonsai - you will find that it is anything but 'dwarfed' :)
Hope your day is happier!

Submitted by Paul Woodward (not verified) on 6 August 2007 - 7:11am.
The problem I have with Notify is that all my users turn it off because they are notified about every email, which they find irritating. Then they miss meetings.
Users don't know how to configure Notify because it is not part of the GW client (why???!!!!) and the configuration can't be done from the GW client (why???!!!). Even when shown how to configure Notify, most people struggle due to the complex interface.
Those of us that "know" GW will adjust the defaults so that we are notified about appointments but not general email.
So why on Earth isn't that the default?? It would prevent dozens of helpdesk calls a year and make my users much happier.

The problem is that what you desire as a default doesn't suit everyone, so we can't please all people. I have found myself relying much more on my Blackberry or Smart Phone to remind me of meetings then I did on notify.
Notify in the the Bonsai Linux client is part of the main executable and configured from within the client - I am not sure if/when the windows client will follow suit.

Submitted by Dean Lythgoe (not verified) on 9 August 2007 - 12:44pm.
Blaine,
We don't know exactly how to do it since we haven't used Tumbleweed before, but I think these servers should have/provide a hook into Microsoft CryptoAPI or intercept its API to do it validation. It really depends on how it integration with Microsoft's API, not GW's API. What GW relies on is Microsoft's API to perform the validation, therefore, these 3rd-parties server have to work with Microsoft's CrytoAPI directly.
Hope that helps...

Yes it does. Tumbleweed told me they are working on supporting the Groupwise client in the future. It already works with Exchange and unfortunately 99% of the military is Exchange so I am trying to keep Groupwise as along as possible, We had 5 Novell sales reps and 2 engineers look at our issue and no luck with a solution yet. I guess it can't be done.

Submitted by Johnnie Odom (not verified) on 10 August 2007 - 8:51am.
Ah yes, the "why" is very simple. If an application has an AppleScript dictionary or set of Automator actions, then I can tie it into my overall Macintosh infrastructure with little effort. I can make it work with Leopard's upcoming "notes" features, the iCal server, Safari, iLife, and practically any other application on the Mac. Without an AppleScript dictionary the best I can hope for is to use Unix scripting to modify the config files. For example, I've had to write an OS X loginhook to populate a new user's GW information from NDS via LDAP when on Windows it "just happens" when a new user logs into a machine.
Novell's clients on the Windows side (Client32, Zenworks, Groupwise, etc.) integrate nicely with one another to form very powerful workflows. Apple offers similar functionality through their own suite of OS X products and technologies. However, Novell develops its OS X products as essentially standalone applications (and usually a port of the Linux version) which makes it very difficult to use them gracefully in an OS X environment. If Novell's offerings at least offered AppleScript and Automator functionality then we could write the middle pieces. For example, I could user Remote Desktop with Zen Asset Management to increase the flexibility of my inventory reporting.
Coming back to Groupwise, if I could just use AppleScript to grab address book entries from Groupwise and pipe them somewhere else (Addressbook, obviously, but let's say the Pages application or even Word) then that would be powerful. So to would the ability to create e-mail in Groupwise via AppleScript. I could then have my client machines e-mail me whenever certain events happened.
Groupwise 5 had an AppleScript dictionary. That would be a good place to start. So would sending a few Novell engineers to Apple's Worldwide Developer Conference (WWDC). I'm a big fan of Novell on the back-end for Enterprise and Apple on the front-end for clients but it seems like the two worlds don't communicate very much.
Of course, the ultimate dream would be a Zenworks for OS X (yes, yes, this post is about Groupwise). All it would require is an implementation of Apple's MCX LDAP extensions on Novell's end ....

Dean, New version sounds
Submitted by Kevin Salisbury (not verified) on 10 August 2007 - 6:31pm.
Dean,
New version sounds great. I like what I hear in your posts! However, the biggest helpdesk issue from *management* here is the lack of Groupwise Notify for any messages sent through GMS to other GroupWise accounts. I hope bonsai fixes this problem!
To explain further: We have a lot of managers using mobile devices through GMS, but most of their direct reports are not using any handhelds and still rely on the Windows Client Notify.exe to inform them about incoming messages. I know it sounds crazy (and from the posts above, evidently some people never use Notify this way I guess) but we have *many* users that rarely open their GroupWise client - they manage incoming only through the Notify.exe. My managers absolutely hate the fact that their employees, at best, take much longer to see management e-mail messages sent from a handheld through GMS than they would if they used WebAccess or the Windows Client to send the message. Guess who hears about it each time this happens (about 3 times a day!)? HELP!
Thanks for the ear, and please keep up the great work!

What you've posted sounds good, but please please improve calendaring with external parites !
Some of the issues we see :
1) The description is often missing (although in the original iCal mime attachement, not reflected in the users GW calendar when they accept the message)
2) Appointments that are updated (i.e externally originated) create another appointment, leaving 2 in the calendar
3) Let users modify the appointment (invite others, change the place etc) This is basic stuff !!
This is the number one complaint from management about GW.

It is a small thing, but I'd like to see the Linux client available as a TAR or better still a DEB. Dell is shipping Ubuntu Linux desktops and many more users downloading it on their own. 1. Description missing - this sounds like a bug - I will look into it.
2. Duplicate appointments - we do not have a good 'merge' model yet. This is something we are working on post-Bonsai

Hi Dean,

Just FYI, I've submitted 3 bugs through the website support page, and they all get closed with cannot duplicate, but worse than that, the mails I get don't refer to the bug I submitted, so I don't even know what they are talking about.
Is there somewhere I can send the mail so you can see it ?
This blog appears to be the only way to get feedback into Novell without paying for it, (and your time is better spent that dealing with us!).
It's a pity 2 + 3 won't make Bonsai, as these are highly visible and a constant complaint to us from senior company figures.
One last thing, I heard about 'Auto Save'. Does this apply to drafts ?
Our COO lost a long email today when the client crashed on him. He was very upset ! Can you elaborate ?
Many thanks

If you could explain "5. Shared Calendar data merged with the composite view" in more detail, it may be what I am looking for. Basically, all of my users are clamoring for the ability to, at the very least, see a Multi-User week view, instead of being limited to a single day only. Trying to explain #5... In

Trying to explain #5...
In GroupWise 7, we introduced Personal Calendars. Each calendar has a checkbox by it that determines if the data from that calendar is to be viewed along with other calendar data in the main 'Calendar' folder. A composite view is the main Calendar Folder with all of its data and all sub-calendars, that are 'checked', showing in the main calendar. All of the calendars are overlayed and displayed in the main calendar - if the box is checked.
In GroupWise 7, if you received a Shared Calendar - you could not merge this data in your main calendar. You could only view it separately, while clicking on that Shared Calendar. There was no 'CheckBox'.
In Bonsai, if you receive a Shared Calendar, you will be able to 'Check' the box next to the calendar indicating that all of this shared data will be viewed in the Main Calendar - overlayed with all of the data being displayed in the main calendar.
As always - you will be able to view it in 'any' of the modes. Day, Week, Month, Year - ETC. There are several different views and using View Designer - you can still create your own.
Did that make any sense?

I looked into the second problem....
First, some things to be aware of....
Status changes for appointments in the past will not trigger notifications, they should still trigger for appointments that have not occurred yet. This was needed since a purge caused by archiving or auto-delete an item would trigger the notifications (not wanted).
There is a bug outstanding, scheduled to be resolved in Bonsai, where we don't send out a cancellation message to external users when the scheduler of the event cancels it.
Not sure if that is the situation for you?

It is true that you can not
Submitted by Dean Lythgoe (not verified) on 25 September 2007 - 7:55am.
It is true that you can not snooze for more than 15 minutes at a time. You can snooze multiple times. I will not try to 'defend' the design - simply explain it and then I welcome your feedback.
When designing the snooze, we designed it much like an 'Alarm Clock'. Alarm clocks have a default snooze time of a few minutes - mine at home is about 9 minutes. The value of having a snooze that is longer than 15 minutes 'seemed' somewhat pointless. If you really want to wake up at a certain time - you set the alarm to that time, not use the snooze to get you to the correct time.
Maybe we did not understand all of the business cases out there that make this such an important feature. As we choose which features or changes to make, there are a finite number. From our perspective, this one simply has not risen to a priority worth spending the time. Maybe all of you can convince us otherwise by explaining the use cases and value of having the ability to set a snooze to another time or to any time.
Please share :)

Allowing a snooze time
Submitted by Rob (not verified) on 2 October 2007 - 6:00am.
Allowing a snooze time longer than 15 minutes is very important. If I calendar an item to do for Monday morning, but then realize that I have something more pressing that I need to do that day, I can snooze it for 24 hours to do on Tuesday. Or I can snooze it for four hours to do in the afternoon. I do not want to copy and paste it in the next day, nor do I want to have to keep copying and pasting it in every time I push it off. Maybe it is just a function for a procastinator, but there are a lot of procastinators out there and there is no function I have encountered that is more villified than the Novell 15 minute snooze. Is it really that hard to allow users to snooze for an hour or a day or a week, or does Novell just hate its procrastinating customers?

The part of this analogy that doesn't work for me is that I'm not using it (Notify) in reference to a specific time -- I'm using it to be sure I can prioritize and delay without risk of losing track of what's undone. Ideally, the things I want to snooze shouldn't really be appointments - they should be tasks or notes... but you can't set alarms for those.
The other issue for me is that the snooze doesn't work properly. I set it for 15 minutes (which is generally the minimum I want, not the maximum), but the alarm goes off again in 2-3 minutes. I thought I had found a reference to this problem here once, but am not able to retrieve it. Any suggestions?
Thanks!

I understand now what you

I understand now what you are asking - but you have to admit you are requesting functionality for a feature that was not designed for how you want to use it.
You don't want Alarms - you want email reminders. Something that you can create for any item, at anytime, and it puts an email back in your mailbox at that particular time. It either puts a new email in your mailbox OR simply reappears in the mailbox - Right?
Instead of trying to force Notify and Appointment Alarms to do what you want - we should think of a new feature like 'Remind Me' that has certain functionality and feature set and is different from Alarms. Although it might leverage the same infrastructure.
What do you think?

I think you cut to the chase

I think you cut to the chase very well. The distinction between "alarms" and "reminders" is an excellent one. Personally, if the reminders pop up in Notify like alarms do, I could live without the email - though if I wasn't so desk-bound that might be different. Like Paul's users, I prefer not to have the email notifications, so I use it the way you do.
From the uninformed perspective of an end user, I don't see a lot of gap between the "new feature" and Notify. Greatly expanded flexibility on the length of Snooze, plus the ability to Snooze tasks (or even notes), and I'm a happy camper.
...until the next minor thing sets me off :)
...and assuming that my problem with premature expiration -- of the snooze time I've set -- can be fixed as well.

Sending Re-Occuring Emails
Submitted by Anonymous on 26 September 2008 - 2:37pm.
This may be basic, but.... Is there anyway you can set up GroupWise to send a re-occuring or periodic email? I've tried through rules and can't find how to set it up. I don't have a "triggering" event since I just want to send it on the last working day of the month when I first log in.
You can send appointments, tasks, & reminders but not emails. I want to set up an email that will send itself every last workday of the the month. Don't want to send reminders since most people accept it then forget it, same with appointments and tasks. As it stands, I have to remind myself to send this email every month in the morning when I log in.
