Deployment Instructions Teaming 2

You have most likely noticed by now that Teaming 2 is surprisingly different from Teaming 1 (we hope by now you've noticed), and some would say for the better. Because they are so different we have deemed it necessary to rewrite deployment instructions for Teaming 2. As always we hope that you have already downloaded a Teaming 2 form and workflow from the Novell Teaming Library ).

This walkthrough will explain how to:

  1. Import forms and workflows into Teaming
  2. Give a brief explanation of the customization process (with more detailed explanations in upcoming walkthroughs)
  3. Deploy the newly downloaded form and workflow in a folder on any given workspace within Teaming 2 by demonstrating how to create a global folder template.

Lets get started:

You will need to begin by logging into teaming as an administrator.

To Import Globally :

After Logging in, click Site Administration under the Manage tab.

Now navigate to and select the Form and View designer

From here you need to select Import on the navigation bar.

The import screen will look like this.

Simply Browse and locate your downloaded .zip file and select OK.

Remember that Form and View Designer window that we were looking at before we clicked Import? Go back to it and we’ll get started editing.

Click the plus sign to see a drop down containing all of the forms you have created or imported.

Entry Definitions is where your forms will be found. (If the form and workflow were imported globally then you will be able to access this form by simply selecting Form and View Designer under the Manage tab on your home workspace.)

Simply select the form you wish to edit and you will see a screen like this:

In this graphic we have highlighted in yellow the area used to add, delete, and modify form elements. The red area above is used to see a preview of your entry from definitions. (You will not see the entry view definitions until you deploy your form.)

Many forms will contain an HTML – Background element like this one.

You will need to be familiar with basic HTML tags in order to edit this element. This will allow you to add background colors to your form, edit the heading, borders, and fonts.

If you want to take a look select HTML—Background and then select Modify

I’m sorry that this article isn’t long enough to talk about the HTML edits possible in a teaming form. If you feel familiar with HTML, or maybe you don’t but you’re a very ambitious individual, go for it! Right now, however, we are going to discuss how to edit other existing elements in the definition.

In order to change existing elements simply use this navigation tree to find that element, select it, and modify it.

This is the modify view for the yellow highlighted selection. Changing the Selection String (in red) will change the caption display. The Selection Data Name (in green) is required by teaming to identify this element internally.

You’ll notice that teaming has four options for most any element: Add, Delete, Modify, and Move. Here is a breakdown of instructions from Teaming 1 that translate perfectly to Teaming 2.

Add elements:

Click Form under the Entry form definitions selection and you will see the following choices.

Click Add. And now you have a whole range of choices. The video tutorials showed you how to add a number of elements to your form so, as far as adding new elements goes, I will let you just enjoy.

Remove elements:

Similar to the previous instruction you will navigate down the ladder where you will then need to locate the element you wish to remove. All elements may be deleted except Attachment and Title. The attachment element may be hidden. After selecting the desired elements simply click Delete. Be aware that this can not be undone. If you think you made a mistake just start the import process over.

Move elements:

This will require you to select Move. You will then be asked to Click the new location for your item You will locate and select where you would like the element to move to. Once selected, you will be given the option to move it above, below, or into the element you have just selected. The Move into the selected item option is very useful for organizing your form. You can move elements into tables, boxes, HTML, field sets, and many other design elements.

Modify Elements:

This should be a very important help to you in customizing your forms to meet the needs of your specific business, government body, school, or group.

We will start by Clicking HTML – Background under Form under the Entry form definitions selection and you will see the following choices.

Select "Modify" and you will be shown the following:

On any normal definition the Caption is displayed to the user. This is not the case for an HTML element; the Name is required to create this definition. The Caption will not be displayed and is not necessary (but helpful for element tree organization).

This is the fun part. You will need to be somewhat familiar with HTML in order to customize your form using this element.

You will notice the selected font is century gothic, The title is aligned to the left, and even the width of the table is defined as 900 (pixels). These can all be changed.

You may also consider adding some color.
Just add the tag:
Bgcolor = "#FFFFFF" for a white background. Other color codes can be found all over the internet. If you want you can even type “red” and “black” to see what happens

On most any other element, if you only wish to change the name the user sees you will need to change Caption.

Important Editing Note:

Even though your form look the way you want it to in the preview, do not deploy it without first similarly editing the Entry View Definition.

For every element that you edited excepting layout definitions (ie. Selectbox, Text, Radio Buttons, Checkbox, HTML’s, etc) you must do the following:

Click on the plus sign (+) in front of Entry View Definition and find the original of the element you just edited.

You must select and modify all items that you just edited. The Caption and Data Name in the view elements must match any new Captions and Data Names in your entry definition elements.

Your Data Name in the view definition element must exactly match the Data Name in the entry definition element.

You may rearrange the order of your elements by selecting it and electing the Move option. Choose the element nearest to where you would like to move it. It looks like this:

Now just chose to move your element above, below, or into the selected Item. Note: you may not move some elements into others. This will be discussed in more detail in future articles.

Thanks for staying with this. Here is what you really wanted to know. Were going to take a moment to describe DEPLOYMENT.

Navigate to the workspace/folder where these files were imported. Select Manage>Add New Folder. Title it whatever you want, The type of folder will depend on the form and workflow you downloaded and imported. The type of folder you select will only alter the way that you see the Entries by default. You can then change any of this by Selecting Manage>Configure. Hopefully you selected the default folder that provided the view you desire (otherwise you can customize your own). Pay close attention to the fieldsets Default Entry Types and Allowed Workflows. Both sections will have a divider with a section called Local Definition under it. If you have imported them to this workspace you will see them here. Check the boxes next to the form and workflow you just imported. Select Apply>Close. You should be able to add a new entry to your folder. Have a go! This is the easiest way to deploy a form and a workflow. If you would like to create a custom Template that allows you to determine a new folder type that will always have this form and workflow attached then keep reading.

To create a Custom Folder Template we will begin by navigating again to Site Administration under the Manage tab.

Now Navigate to the Manage Workspace and Folder Templates.

We want to select Folder from the New drop down list.

You will probably want to have the same Template Title as your Name. Please take the time to fill in a useful description.

Click Add

The next screen can be of great use to you if you plan to use a logo on this particular workspace or if you want to brand your workspaces. Take some time to come back here and play around with this. Additional customization help will come in future Featured Articles on the Library web page:

For now just Click OK

Click Configure under the Manage This Target drop down list.

    You will notice a number of fieldsets:
  1. Define a simple URL for this folder or workspace
  2. Definition inheritance
  3. Allowed Views
  4. Default Views
  5. Default Entry Types
  6. Workflow Associations
  7. Allowed Workflows

We are going to worry about those last three only. Under Default Entry Types find and select the name of the form you just imported. Scroll down under Allowed Workflows and select the workflow that you just imported. Click any of the many Apply buttons. Under Workflow Associations use the drop down box to associate your selected form with your selected workflow and click Apply. Your template is now created and contains the new form and workflow you just downloaded. Now for any workspace you can select Manage and add this template to it. Give it a whirl.
