Multi-User Calendar View
GroupWise offers a variety of different Calendar views for your personal calendar, but one of the most overlooked, yet powerful, views is the Multi-User view. There are two great benefits to using the Multi-User view. First, you have multiple calendars side by side, allowing you to visually compare schedules. Second, you have full access to this calendar as if you had used proxy to access it. This means you can create or modify appointments from multiple calendars in a single screen without having to take the steps to proxy over to each account.
You select the Multi-User view by first selecting your calendar folder, and then clicking on the Multi-User view icon .
Until you add more calendars, GroupWise will only display your personal calendar. You control which calendars are displayed by clicking on the small down arrow next to the Multi-user View icon. This will give you the menu option Add or Remove Users? Select this and you will be presented with the following dialog:
You only can only view those calendars to which you have been granted proxy access. If you have previously proxied to an account, it will be in the User List. If you are yet to proxy to the account, you can type it in the name field or select it from the address book icon and then click Add User. The users that have checks next to them will appear in the view. Additionally, you can change the order in which they are displayed by using the arrow buttons at the bottom of the dialog.
Click OK and you will be returned to the Multi-User view than now displays the calendar for the user accounts that you selected.
Configuring Multiple Calendar Views
You can configure which calendar views are available and even create several different Multi-User views that contain different combinations of users.
- Right-click anywhere on the calendar view toolbar.
- Select Properties.
- Select New?
- Enter a name for your new view (Info & Orders in the example below).
- Select Multi-User for the view.
- Click OK.
- Click OK to close the Calendar View Properties window.
You will now have an additional Multi-User view icon. You can customize which calendars are displayed in this view just like you can with the default Multi-User view icon.
Information is Power
One of the most powerful areas in GroupWise is calendaring and the Multi-User view is a tool to provide you the information you need on a single screen. If you manage multiple calendars you can save yourself a lot of time and clicking by utilizing the Multi-User views in GroupWise.
