Changing Column Type, Size, and Order

You have cellular phone numbers for most of the contacts in your address book, but your address book item list view doesn't display a column of cellular phone numbers by default. You can easily add a column for cellular numbers, delete existing address book columns, and just generally customize the columns in any of your item list views in GroupWise, including your Mailbox, by following the steps below:

Adding a Column

By default, GroupWise has several possible column headings that it doesn't display. You can choose to add any of these column headings and their contents by following the steps below:

  1. Right click on any column heading.
  2. A menu will appear with the most-used column headings. If you see the column heading you want to add here, simply click it and it will be added to your current item list view.



  3. If the column heading doesn't appear, click More columns.



  4. Select the column you wish to add in the Available columns box.
  5. Click the Add button to add it to the Selected columns box.
  6. Move the column up or down in the order in the Selected columns box by clicking the Up or Down button under Column position.
  7. You can also change the width of the column in the Column width box.
  8. After you are pleased with your settings, click OK to return to your modified item list view.

Removing a Column

To add room in your item list view for the columns you add, you may need to remove some of the existing columns. Follow the steps below to remove columns:

  1. Click and drag the column heading button somewhere off the GroupWise window.
  2. The cursor will turn into a trash can and automatically delete the column.




OR

  1. Right-click the column you wish to delete.
  2. Select More columns.
  3. Select the column you wish to remove in the Selected columns box.
  4. Click Remove.
  5. Click OK.

Changing Column Width

Another way to make room for additional columns is to change the width of the existing columns. Follow the steps below to change column width:

  1. Hover your mouse pointer over the column heading divisions until it turns into a black line with arrows on either side.



  2. Click and drag to widen or shorten the column's width.

OR

  1. Right-click anywhere on the column headings.
  2. Select More columns.
  3. Select the column for which you wish to change the width in the Select columns box.
  4. Click the Larger or Smaller buttons in the Column width box to change the column width. The illustration of the column heading will change to show the width you have selected.



  5. Click OK.

Reordering Columns

If you want to change what you view first in your item list view, you can change the order of the columns by following the steps below:

  1. Click and drag the column heading until the cursor changes to a grasping hand holding on to a ghosted image of the column heading.



  2. When you release, the column heading will stay where you place it.

OR

  1. Right click anywhere on the column headings.
  2. Select More columns.
  3. Select the column that you want to reorder in the Select columns box.
  4. Click the Up or Down buttons until the column heading is in the position you want. (Up to Down in the Select columns box = Left to Right in the item list view.)



  5. Click OK.

Conclusion

Now that you know how to customize any of your item list views, you no longer have to rely on the GroupWise defaults to tell you what to see. You can add any column you want from cellular phone numbers to CC headings. Because you know that adding, removing, resizing, and reordering columns is as simple as clicking and dragging, you might even want to save the seconds it takes to click and view an individual item and change your column headings instead.
