How to Create Rules in NetMail

User Tip: You can use rules to define actions that you want to be performed on items you receive. For example, you can forward messages or move messages to folders. Rules can help you organize and automate your mailbox while you are away, or delete unwanted items automatically.

To create a rule, follow the steps below:

WebAccess Template Instructions

  1. Click on the Options icon ()


  2. Select Rules.


  3. Select the type of rule you want to create:

    • Move To: Moves an item to the folder you specify.
    • CC To: Add a designated address to the CC field.
    • Delete: Marks an item as deleted.
    • Forward To: Forwards an item to the recipients you specify.


  4. Click the If drop-down list to select the mail message field you want to monitor (options include From, To, CC, Subject, Body, and Apply to all Messages).



  5. In the Contains field, type the text you want to search for in the mail message field you selected in step 4.


  6. Supply the information needed to perform the relevant action if the condition described by the If and Contains items is true. For example, if you are are setting up a Move To rule and you want to move all messages that meet your condition to a folder you created called "Urgent," you would select the Urgent folder from the Move To drop-down list.


  7. If you want WebAccess to only apply the rule to the first item that meets the stated criteria, place a mark in the Stop processing on match checkbox.


  8. By default, the rule is automatically activated. If you don't want the rule active at this time, deselect the rule's Activate box > click Save.


To delete a rule, click Delete in the column to the right of the rule.
