3.0 Preventing Archiving of Certain Email Messages

Beginning in Retain 4.10.1, you can prevent Retain from archiving emails that include one or more addresses found in the Excluded Addresses list.

Path: Retain Server Manager > Data Collection > Exclusions

Use this dialog to create a list of email addresses that prevents Retain from archiving associated messages.

If one of the listed email addresses is found in the To, From, CC or BCC fields of an email message, Retain doesn’t archive the message.

Example

  • User4@example.com sends an email to the following recipients:

    • User1@example.com

    • User2@example.com

    • User3@example.com

  • The Excluded Addresses list contains one entry

    • User2@example.com

    Retain doesn’t archive the email for any of the email participants, including the user who sent the message, User4@example.com.

 

Email field and Add button

  1. Use this to manually add a typed email address to the Excluded Addresses List. Only one address can be added at a time.

 

Add Email from Address Book button

  1. Click this to open a dialog that lets you find and add users from Retain’s cached address books.

 

Import from CSV file button

  1. Click this and navigate to and select a previously created CSV (comma-separated values) file on your system.

  2. Click Open to import file contents to the Excluded Addresses list.

 

Remove Selected Email Addresses

  1. Select one or more email addresses to remove from the Excluded Addresses list.

  2. When finished making your selections, click this to remove the addresses.
