Adding Internet Users to the Address Book and Distribution Lists

Situation

Add Internet Addresses to Address Book or to public distribution lists

Resolution

Creating an External Domain, External Post Office and External User
  1. Launch ConsoleOne.
  2. Connect to the GroupWise System by clicking Tools | GroupWise System Operations | Select Domain.
  3. Browse to the Domain Directory and click OK.
  4. Expand the GroupWise System.
  5. Right Click the GroupWise System and click New | External Domain.
  6. Type in the name. This can be any name. Example - extdom1.
  7. Set the correct Time Zone and make sure that the Version is the latest version.
  8. In the Link to Domain, select the Primary Domain.
  9. Click OK.
  10. Right Click the new External Domain (extdom1) and click New | External Post Office.
  11. Type in the External Post Office name. This can be any name. Example - extpo1.
  12. Now right click on the External Post Office (extpo1) and click New | External User.
  13. Type in the userid. For example - type ulast1 and click OK.
  14. Right click the External user and click Properties and fill in the Given Name and Last Name. For example, right click ulast1 and provide the Given Name as User1 and Last Name as Last1.

Same Interent Domain for all External Users

If the Internet Domain for the External users is going to be the same for all the External users in the Post Office, please follow the steps listed below
  1. Right Click on External Post Office and click Properties.
  2. Click GroupWise | Internet Addressing.
  3. Specify the Preferred Address Format/Allowed Address Formats/Internet Domain name. This will be applicable to all the users.
  4. Click OK.
Example
If in extpo1, there are the following users
 
UserID - ulast1
Given Name - User1
Last Name - Last1
 
UserID - ulast2
Given Name - User2
Last Name - Last2
 
The email address for these users, need to be FirstName.LastName@InternetDomain.com.  
  1. Right Click on extpo1 and click Properties.
  2. Click GroupWise | Internet Addressing.
  3. Click Override on Preferred Address format: and click FirstName.LastName@Internet domain name.
  4. Click Override on Internet domain name: and click example.com.
  5. Click OK.
These users would be seen in GroupWise System Address Book with email address User1.Last1@example.com, User2.Last2@example.com  
 
Mulitple Internet Domains for External Users
 
If the Internet Domain for the External users is going to be different, please follow the steps listed below
  1. Right Click on External User and click Properties.
  2. Click GroupWise | Internet Addressing.
  3. Specify the Preferred Address Format/Preferred Email ID/Allowed Address Formats/Internet Domain name.
  4. Click OK.
Example
If in extpo1, there are the following users
 
UserID - ulast1
Given Name - User1
Last Name - Last1
 
UserID - ulast2
Given Name - User2
Last Name - Last2
 
The email address for these users need to be ulast1@example.com and User2.Last2@nonexample.com
 
  1. Right click on ulast1 and click Properties.
  2. Click GroupWise | Internet Addressing.
  3. Click Override on Preferred Address format and click UserID@Internet domain name.
  4. Click Override on Internet domain name and type example.com.
  5. Click OK.
  6. Right Click on ulast2 and click Properties.
  7. Click GroupWise | Internet Addressing.
  8. Click Override on Preferred Address format and click FirstName.LastName@Internet domain name.
  9. Click Override on Internet domain and type nonexample.com.
  10. Click OK.

Additional Information

A gateway link will also need to be set.  
1.  Right click on the domain hosting GWIA which is used for sending mail out.  Select GroupWise Utilities -> Link Configuration
2.  Double click on the External domain object
3.  In Link Type select Gateway from the drop down list
4.  In Settings, select the GWIA object as Gateway Link
5.  Select Ok.
6.  Close the Link configuration window and click yes when prompted for "Save Link changes for domain"
