3.3 Assigning Tasks

A task has a completion date and time. You can assign tasks to other users or to yourself. When you assign a task to another user, the user can accept or decline the task.

The task remains in the Calendar and Tasklist, carrying over from one day to the next, until it is either declined or marked complete.

3.3.1 Assigning a Task to Other Users

  1. In the Calendar, tap , then tap New Task.

  2. In the To box, start typing the recipient’s user name. GroupWise attempts to match the typed name to names in your frequent contacts list. If you see the correct match, tap the name to add it to the recipients list, or continue typing the recipient’s email address.

    Tap to display a list of your frequent contacts, then tap a name to add it to the recipient list.

  3. Tap the Cc/Bc box to add carbon copy recipients and blind copy recipients.

    Carbon copy recipients (CC) receive a copy of an item. All recipients can see that a carbon copy was sent. They can also see the names of the CC recipients.

    Blind copy recipients (BC) receive a copy of an item. Other recipients receive no information about blind copies. Only the sender and the blind copy recipient know that a blind copy was sent. If a recipient replies and chooses Reply to All, blind copy recipients do not receive the reply.

  4. Select the start date for the task.

    This date is when the task first appears in the recipient’s Calendar.

  5. Tap Priority, then type a priority for the task (for example, 1 or A1).

  6. Select a due date for the task.

  7. Type a subject and message.

  8. If you want to specify Send options (Classification, Priority, Reply Request, and Return Notification), tap .

  9. Tap Send.

3.3.2 Posting a Task for Yourself

  1. In the Calendar, tap , then tap New Task.

  2. Tap to change the task to a personal task.

  3. Select the start date for the task.

    This date is when the task first appears in the recipient’s Calendar.

  4. Select a due date for the task.

  5. Type a subject and message.

  6. Tap Post.

The task is placed in your Calendar and Tasklist.

3.3.3 Tracking Task Completion

When you finish a task, you can mark it as complete. Tasks you mark as complete are not carried over to the next day on your Calendar. Completed tasks are distinguished by a check mark in your Calendar.

If you mark a task as complete, then realize you left some part of it incomplete, you can unmark it. Unmarked tasks display on the current day in your Calendar.

Marking a Task Complete

  1. In the Quick Access Bar, tap Calendar.

  2. Tap the task you want to mark complete.

  3. Tap Completed.

    The task no longer displays in your Calendar, and it shows as complete in your Tasklist.

To mark the task as incomplete, go to the Tasklist and deselect the Completed option.

Checking the Completion Status of a Task You Sent

  1. In the Quick Access Bar, tap Mail.

  2. Tap , then tap Sent Items.

    If you also assigned the task to yourself, you can find it in the Calendar or Tasklist.

  3. Tap the task you want to look at.

  4. Tap Properties.
