Licensed Products

The Licensed Products page enables you to create new licensed products and manage existing ones.

The icon displayed for a normal licensed product and the icon displayed for a licensed product of a license information source, enables you to differentiate these two types of products.

The following information is provided for each licensed product included in the list:

Create a licensed product

  1. Click New > Licensed Product.

  2. Follow the on-screen prompts. Click the Help button if you need additional information.

Filter the Licensed Products list

  1. In the Search panel, enter the criteria to use for filtering the list:

    Name: Specify the text that the licensed product name (or folder name) must include. This is a partial match field that is case-insensitive.

    Type: Select which objects you want to filter on: Licensed Product, Folder, or All Types.

    Manufacturer: Select a specific manufacturer, or select Any manufacturer.

    Reconciliation Status: Select one of the following to match:

    • Any: Ignore the reconciliation status. Match any licensed products.

    • Without Catalog Products: Match licensed products that don’t have any catalog products, but have discovered products.

    • Without Discovered Products: Match licensed products that don’t have any discovered products, but have catalog products.

    • Without Any Products: Match licensed products that don’t have any catalog products and discovered products.

    • With Catalog and Discovered Products: Match licensed products that have both catalog products and discovered products.

    Allocation Status: Select whether to match licensed products with allocations, without allocations, or both.

    Compliance Status: Select one of the following to match:

    • Any: Ignore the compliance status. Match any licensed products.

    • Over: Match licensed products that are overlicensed; there are more licenses than installations.

    • Under: Match licensed products that are underlicensed; there are more installations than licenses.

    • Properly Licensed: Match licensed products that have the same number of licenses and installations.

    • Not Evaluated: Match licensed products whose compliance status has not been calculated yet.

    • Evaluated: Match licensed products whose compliance status is calculated (overlicensed, underlicensed, or properly licensed).

    Include Subfolders: Select this option to search the current folder and its subfolders.

  2. Click Search to apply the search criteria and filter the list.

 

Create a folder

  1. Click New > Folder.

  2. Specify a name.

  3. Specify a path.

  4. (Optional) Add a description.

  5. Click OK.

 

Move a folder or product

  1. Select a folder or product.

  2. Click Move.

  3. Specify a destination folder.

  4. Click OK.

 

Delete a folder or product

  1. Select a folder or product.

  2. Click Delete.

  3. Click OK.

Deleting a folder deletes all the products in the folder.

Auto-reconcile and create licensed products

  1. Click Action > Auto-Reconcile: Create Licensed Products.

  2. Follow the on-screen prompts. Click the Help button if you need additional information.

Auto-reconcile and add to licensed products

  1. Click Action > Auto-Reconcile: Add to Licensed Products.

  2. Follow the on-screen prompts. Click the Help button if you need additional information.

Merge licensed products

  1. Select one or more licensed products.

  2. Click Action > Merge Licensed Products.

  3. Select the licensed target product.

  4. Click OK.

 

Refresh compliance data for all licensed products

  1. Click Action > Refresh Compliance Status.

A compliance data refresh for licensed products is triggered automatically under various circumstances. This method allows you to refresh on demand. For more information, see Compliance Data Refresh.

Auto-Reconcile

Use the Auto-reconcile function to generate either a suggested list of licensed products to create or a list of discovered or catalog products to reconcile to an existing licensed product.

  • Create New License: Generates a list of suggested licensed products to create. The new licensed product includes a discovered product and an optional list of catalog products.

  • Add to Existing Licensed Product: Generates a suggested list of either discovered products, catalog products, or both to add to existing licensed products.

These suggestions are based on discovered products that are not yet reconciled and have not been excluded. The Auto-reconcile function also uses a combination of Manufacturer name, Product name, and Version to attempt to match licenses to catalog products that have not been reconciled.

When you start the process, you view a list of suggested licensed products and their associated products. You can then choose to accept the suggestions to create one or more licensed products or reconcile products to existing licensed products.

Compliance Data Refresh

Refreshing compliance data does the following:

  • Recalculates all discovered product installation counts

  • Recalculates compliance status for all licenses

  • Updates license allocations with changes made to a device’s demographic data.

Triggering a Refresh

Compliance data is refreshed under various circumstances. To manually trigger a refresh, you can click Action > Refresh Compliance Status on either the Licensed Products page or the Discovered Products page. A refresh is triggered automatically when you import purchase records; however, performing an auto-reconcile of licensed products won’t trigger an automatic refresh.

A refresh of a single license is triggered automatically under the following circumstances:

  • Creating or deleting an entitlement

  • Adding a purchase summary to an entitlement

  • Adding a catalog product to a license

  • Modifying a catalog product that is associated with a license

  • Adding a discovered product to a license

  • Modifying a discovered product that is associated with a license

  • Marking a discovered product installation (associated with a license) as ignored

  • Deleting a purchase record associated with a license

  • Deleting a software collection associated with a license

Viewing Refresh Details

You can see information about the latest refresh above the menu bar of both the Licensed Products page and Discovered Products page. This information includes the following:

  • The last time a compliance refresh was started and ended

  • What initiated the refresh

  • Whether it was a refresh of all products or a single product

In addition, the licensed product’s Compliance Status page shows the time the status was last refreshed. Clicking License Management Reports > Software Compliance > Compliance Report displays a column called More Recent Recalc that indicates if an individual license status has been refreshed more recently than the last “full refresh” of all licenses.
