Post Office > Objects > Gateway Aliases

Post Office Options

Many non-GroupWise email systems do not use the same address syntax as GroupWise. Or in some cases, they might not support the same address characters or address length. A gateway alias is an alternate address that conforms to the format requirements of a non-GroupWise email system that a legacy GroupWise gateway connects to.

Gateway Aliases List: Lists the gateway aliases that have been defined for this post office.

Add: Click Add to create a new gateway alias.

Remove: Select a gateway alias, then click Remove to remove it from the list.

Post Office > Objects > User Move Status

Post Office Options

The User Move Status tool helps you track progress as you move users and resources from one post office to another.

While a GroupWise user account is being moved, the POA in the source post office and the POA in the destination post office communicate back and forth. The move process progresses through various steps and statuses, which include the following:

  • Destination Post Office Updated: The destination POA has updated the destination post office database with the user's account information. At this point, the user account exists in the new location and appears in the GroupWise Address Book with the new location information.

  • Source Post Office Updated: The source POA has removed the user from the source post office database. At this point, the user can no longer access the mailbox at the old location.

  • Moving Mailbox Information: The POAs have finished exchanging administrative information and are ready to move items from the old mailbox to the new mailbox.

  • Sending Mailbox Inventory List: The source POA sends the destination POA a list of all the mailbox items that it should expect to receive.

  • Send Item Request: The destination POA starts requesting items from the source POA and the source POA responds to the requests.

  • Completed Retrieving Items: The destination POA has received all of the items on its mailbox inventory list.

  • Move Completed: After all of the user's mailbox items have arrived in the destination post office, the user's original account in the source post office is deleted and the user move is finished.

  • Unavailable: The User Move Status utility cannot gather status information for destination post offices that are running POAs older than GroupWise 6.5. Status information for users moving to older post offices displays as Unavailable.

If communication between the source POA and the destination POA is interrupted, the source POA automatically retries sending items every 12 hours until all items have been successfully retrieved or until seven days have passed, whichever comes first.

User Move Status Record List: Lists users and resources that are in the process of being moved, along with the domain and post office they are being moved to, their current status, and any errors that have occurred during the move.

Refresh: Updates the user move status information. The list does not refresh automatically.

Clear All Complete: Removes all users from the list for which the Last Move Status column displays Move Complete.

Pending Items: Select a user, then click Pending Items to display detailed information about items belonging to that user that have not yet been moved to the destination post office (perhaps because problems were encountered when trying to move them). This information can help determine the importance of moving residual items that are still pending after all other items have been successfully moved.

Retry/Restart: Select user, then click Retry/Restart to display options for handling a user move that has stopped progressing for some reason.

Force Complete: Select a user, then click Force Complete to stop the user move process, stop the source POA from retrying to send items, and set the user status to Move Completed.

Use this option if the source POA is still retrying to send items that have not yet moved successfully, but the user is satisfied with the current mailbox contents. This situation can typically be avoided by running Mailbox/Library Maintenance on the mailbox before moving the user account.

Clear Status: Select a user, then click Clear Status to remove the user from the list, regardless of its current status. When the status changes, the user reappears in the list.

Post Office > Settings

Post Office Options

Post Office Settings

Disable Live Move: Uses the transfer of message files by POAs and MTAs rather than a TCP/IP connection between POAs. A file transfer move is required if you are moving a user across a WAN link where TCP/IP might not be efficient.

Software Distribution Directory: In a legacy post office, lists available software distribution directories for the post office. To manage software distribution directories, use System > Legacy > Software Areas.

Restore Area: Displays the directory in your GroupWise system that has been designated as the restore area for this post office.

A restore area is a folder where you place a backup copy of a post office so that you or GroupWise client users can access it to retrieve mailbox items that are unavailable in your live GroupWise system. The items might be unavailable because of accidental deletions by users or because of database damage.

If a restore area has not yet been set up, use System > Restore Area Management to create a restore area for the post office.

Address Book Update Settings

The POA automatically updates the post office database (wphost.db) with changes to the GroupWise Address Book as they occur. As a result, whenever a GroupWise client in Caching mode or Remote mode connects to the GroupWise system, it automatically downloads the accumulated incremental updates to the GroupWise Address Book that have occurred since the last time the client connected.

Because the Address Book incremental updates (deltas) are stored as records in the post office database, this feature causes the post office database to grow in size as time passes. Therefore, you can disable this functionality, or control the number of days for which you want to store the incremental update records.

Create Deltas: By default, the POA creates incremental update records and retains them in the post office database for 15 days. Deselect this option to disable this functionality.

Maximum Age for Deltas: Specify the maximum number of days you want to store the incremental update records in the post office database. The default is 15 days. The maximum number of days is 90.

The longer the incremental update records are stored, the larger the post office database becomes, which can impact available disk space, backup time, and database performance.

Remote File Server Settings

Restore areas and document storages areas can be located on a different server from where the POA is running. When needed, the Windows POA attempts to map a drive in order to reach the remote location. The Linux POA can reach a remote location only if it is mounted with appropriate permissions to allow access.

Remote User Name: Specify the user name for the POAs to use when authenticating to the remote server.

Remote User Password: Specify the password associated with the remote user name.

Archive Service Trusted Application

Third-party archive services interact with your GroupWise system as trusted applications, which log into POAs and GWIAs in order to access GroupWise mailboxes without needing personal user passwords.

Default: Displays the default archive service trusted application established using System > System Preferences > Settings.

Select Override, then select the default archive service trusted application for this post office.

Post Office > Client Settings

Post Office Options

The Client settings configure the functionality of the post office as related to access by the GroupWise client.

Client Login

Disable Logins: Prevents all users in the post office from accessing their GroupWise mailboxes until you deselect the option. This is useful when you are rebuilding the post office database or moving it to a new location.

You can also disable logins for individual users (Users > Account).

Lock Out Older GroupWise Clients

By default, the post office allows multiple versions of the GroupWise client to access it. You can specify the minimum version, the minimum date, or both. If you specify both minimums, any user for which both minimums are not true is locked out of the GroupWise client.

Minimum Client Release Version: Select this option to specify the minimum acceptable release version of the GroupWise client for users in this post office.

Minimum Client Release Date: Select this option to specify the minimum acceptable release date of the GroupWise client.

To see which users are accessing the post office and which client versions they are using, you can use the Status page of the POA console. The C/S Users link on the Status page displays client/server users. The Remote/Caching link displays users who are accessing their mailboxes using Remote or Caching mode. Release version and release date information is displayed for all users.

If any users are running older GroupWise clients, they are displayed in the POA console in red. If any users are running equivalent or newer GroupWise clients, they are displayed in blue.

Intruder Detection

Enable Intruder Detection: Configure the POA for the post office to detect system break-in attempts in the form of repeated unsuccessful logins.

Incorrect Logins Allowed: Specify how many unsuccessful login attempts trigger a lockout. The default is 5. Valid values range from 3 to 10.

Incorrect Login Reset Time: Specify how long unsuccessful login attempts are counted. The default is 30 minutes. Valid values range from 15 to 60 minutes.

Lockout Reset Time: Specify how long the user login is disabled. The default is 30 minutes. Valid values range from 15 to 60 minutes.

Post Office > Security

Post Office Options

You can configure each post office in your GroupWise system to use GroupWise authentication or LDAP authentication when users log in to their mailboxes.

  • GroupWise Authentication: GroupWise authentication uses GroupWise-specific passwords that are stored with users’ mailboxes.

  • LDAP Authentication: LDAP authentication requires that GroupWise users provide their directory (network login) passwords instead of GroupWise passwords in order to access their mailboxes.

The POA performs LDAP authentication on behalf of the GroupWise client, the GroupWise Web Application, and the GWIA when these programs need to authenticate users to GroupWise.

GroupWise Authentication: Configures the post office for GroupWise authentication.

Allow Login from Users with No Password: Creates a low-security post office, where users can access their mailboxes without providing any passwords.

LDAP Authentication: Configures the post office for LDAP authentication.

Pool Settings

When providing LDAP authentication, the POA by default communicates with an LDAP directory (such as NetIQ eDirectory or Microsoft Active Directory) to provide the LDAP authentication. Use System > LDAP Servers to configure the directory.

You must configure one or more LDAP servers, in addition to an LDAP directory when one or both of the following situations exist:

  • You want to configure a pool of LDAP servers to provide redundancy for LDAP authentication (Post Office object > Security tab).

  • You want to provide GroupWise users in a remote location with a local LDAP server and directory replica to facilitate prompt LDAP authentication.

When you configure multiple LDAP servers to provide redundancy, the servers form a pool that is managed according to the following settings:

Inactive Connection Timeout: Specify the number of seconds the POA should maintain an inactive connection to an LDAP server. The default is 30 seconds.

LDAP Pool Server Reset Timeout: If you have multiple LDAP servers configured into a pool for this post office, specify the number of minutes the POA should wait before trying to contact an LDAP server in the pool that failed to respond to the previous contact. The default is 5 minutes.

LDAP Server Quarantine Threshold: Specify the number of consecutive failed contacts after which the POA no longer attempts to contact the unavailable LDAP server. The default is 2. After you restart the quarantined LDAP server, it is reinstated into the LDAP server pool and the POA resumes contact.

Preferred LDAP Servers

When you configure multiple LDAP servers (System > LDAP Servers), all configured LDAP servers make up the initial LDAP server pool. By default, the POA can contact any server in the pool when authenticating a GroupWise user that belongs to this post office.

You might prefer that the POA for this post office first contact specific LDAP servers, contacting other servers in the pool only if none of the preferred LDAP servers are available.

Selected LDAP Servers: Lists the LDAP servers that are in the preferred pool of LDAP servers for this post office.

Available LDAP Servers: Lists other LDAP servers that are configured for use with GroupWise. These other LDAP servers are not contacted unless none of the selected LDAP servers are responding.

Move LDAP servers from the Available LDAP Servers list to the Selected LDAP Servers list to create the preferred pool of LDAP servers for this post office.

You can also assign post offices to LDAP servers at the system level (System > LDAP Servers > ldap_server > Post Offices tab).

Users without a DN

If necessary, a post office can be configured for LDAP authentication and still contain users that are not present in the default LDAP directory.

Fall Back to GroupWise Authentication: Uses GroupWise authentication instead of LDAP authentication if a user is not found in the LDAP directory.

Look Up User in Directory: Looks up the user by email address in the selected LDAP directory.

Single Sign-On

Using the Client Options > Security > Password settings, you can enable any of three different types of single sign-on functionality for the GroupWise client:

  • No password required with NetIQ eDirectory login (with the OpenText client)

  • NetIQ SecureLogin

  • Collaboration Single Sign-On (CASA)

Enable Single Sign-On (OpenText Client, SecureLogin, CASA): Allows the POA for the post office to accept single sign-on requests from the GroupWise client.

Post Office > Internet Addressing

Post Office Options

The Internet Addressing tab on the Post Office object lets you override the system-level Internet addressing settings established using System > Internet Addressing > Address Formats and the domain-level settings established using Domain > Internet Addressing.

Select Override next to the Internet addressing option that you want to change, then select the setting for this post office.

Allowed Address Formats

The GWIA can work with the following email address formats that are based on user-name information:

  • User Name@Internet domain name

  • Last Name.First Name@Internet domain name

  • First Name.Last Name@Internet domain name

  • First Initial Last Name@Internet domain name

  • User Name.Post Office@Internet domain name

The allowed address formats are supported for incoming messages and for POP3/IMAP4 logins. Messages can be delivered to recipients if any of the allowed formats have been used in the incoming email address.

Select the address formats that you want the GWIA to accept into your GroupWise system. If a message arrives with any other address format, the message is not delivered to the recipient, and the sender receives an undeliverable notification.

IMPORTANT:Because the allowed email address formats apply to POP3/IMAP4 logins, do not deselect User Name@Internet domain name if you have POP3/IMAP4 users. This will prevent them from logging in to their POP3/IMAP4 accounts with their GroupWise email addresses, and using a different login format will be inconvenient for them.

Preferred Address Format

The preferred address format is used for email addresses in the GroupWise Address Book and in the To field of outgoing messages. Recipients of messages from your GroupWise system reply to email addresses in the preferred address format.

Internet Domain Name

Select the default Internet domain name for email addresses in this post office.

For Incoming Mail, Recipients Are Known Exclusively by This Internet Domain Name: Accepts only email addressed to the selected Internet domain name, even if another valid Internet domain name is used. A valid Internet domain name is any domain name defined at the system level (System > Internet Addressing > Internet Domains).

For example, suppose that your system has two Internet domain names: example.com and gw.example.com. You select gw.example.com as the Internet domain name for this GroupWise domain and select this option. Joe Smith, a user in this domain with a user ID of jsmith, would receive messages addressed to jsmith@gw.example.com but not messages addressed to jsmith@example.com, even though example.com is a valid Internet domain name for your GroupWise system.

Post Office > More > Client Auto-Update

Post Office Options

The GroupWise client includes the Client Auto-Update feature that helps you keep users’ GroupWise client software up to date. Each time the GroupWise client starts, it checks with the POA for the user’s post office to find out if new GroupWise client software is available. When new software is available and Client Auto-Update is enabled, the GroupWise client can prompt the user to install the updated software.

The Client Auto-Update process is triggered when the GroupWise client determines that newer software is available in the user’s post office than is installed on the user’s workstation. Because the client update number in the post office is greater than the client update number on the workstation, the GroupWise client performs the Client Auto-Update process according to the configured Client Auto-Update settings.

Enabled: Indicates whether Client Auto-Update is enabled for the post office.

URL: Displays the URL where the GroupWise client software can be distributed by your web server to users in the post office.

If Client Auto-Update is enabled but no URL is specified, the POA distributes the GroupWise client software to users’ workstations. This can be convenient in a small GroupWise system, because no web server setup is required. However, it places an additional load on the POA whenever client software updates are called for.

Last Updated: Displays the date when you last triggered an update by increasing the client update number in the post office.

Modify Settings: Click Modify Settings to display Client Options > Environment > Client Auto-Update. Change the Client Auto-Update settings as needed, then click OK. Return to the Post Office object Client Auto-Update dialog box to trigger the client update for users in the post office.

Trigger Update: Increments the client update number in the post office, which triggers the GroupWise client to perform the Client Auto-Update process according to the configured Client Auto-Update settings.

Post Office > More > Directory Associations

Launches the Directory Associations tool for users in this post office.

Post Office > More > Timestamp

Date and time information can be placed on user databases (userxxx.db) in order to support message backup, restore, and retention. No other databases are marked with the time stamp.

Backup Timestamp: To ensure thorough user database backups, you can make sure that deleted items are not purged from users’ databases until they have been backed up.

Two conditions must be met in order to provide this level of protection against loss of deleted items:

Restore Timestamp: The restore time stamp is not required for any GroupWise feature to work properly. Its primary purpose is informational.

Time: Select the date and time for the time stamp.

You can also use the GroupWise Time Stamp Utility (GWTMSTMP) to time stamp user databases.

Post Office Options

Breadcrumbs identify the context of the object.

Save: Edit the Post Office object properties as needed, then click Save to save your changes.

Close: Click Close to return to the Post Offices list.

Customize Tab Order: Click Customize Tab Order Options icon to reorganize the tabs on the properties page.

Maintenance > Post Office Database: Performs Post Office Database Maintenance.

Maintenance > Mailbox/Library Maintenance: Performs Mailbox/Library Maintenance for mailboxes in this post office.

Client Options: Sets Client Options at the post office level.

More > Client Auto-Update: Displays the Client Auto-Update settings for the post office. Click Modify Settings to display the Client Options > Environment > Client Auto-Update tab for the post office so that you can change the settings.

More > Delete: Connect to the owning domain, display the Post Office object properties, then click More > Delete to delete the post office.

Deleting the post office deletes the POA and the users associated with the post office. It does not delete the post office folder structure.

More > Directory Associations: Launches the Directory Associations tool for users in this post office.

More > Publish Email: Transfers the email address information for users in this post office from the GroupWise Address Book back into the LDAP directory (such as NetIQ eDirectory or Microsoft Active Directory) from which user information was originally imported.

More > Replicate: Broadcasts current post office information throughout your GroupWise system.

In general, replication of object information occurs automatically. However, because unavoidable events such as power outages and hardware failures can disrupt network connectivity, information in various GroupWise databases might become inconsistent.

The best way to perform replication is to be connected to the domain that owns the object that is inconsistent in your GroupWise system. The next best way to perform replication is to be connected to the primary domain. This is because the primary domain sends a request to the owning domain for the correct information, and then broadcasts the correct information to all secondary domains.
