Users List:
Lists all users in your GroupWise system. Click the name of a user to edit its properties. Click Customize Columns to add columns to the list. You can sort the list on any column.
New: Click New to add a new user.
Delete: Select one or more users, then click Delete to remove them from the list.
If the user also exists in an LDAP directory (such as NetIQ eDirectory or Microsoft Active Directory), any user information that was originally transferred from GroupWise into the directory is removed from the directory when the user is deleted from GroupWise.
If the user owned a resource, you must select a new owner for the resource.
Move: Select a user, then click Move to move the user to a different post office.
Before moving a user, you should run Mailbox/Library Maintenance (User object > Maintenance > Mailbox/Library Maintenance) on the mailbox to prevent possible database inconsistencies from disrupting the user move process.
As you move the user, you can create a nickname for the user to facilitate the routing of messages addressed to the user in the previous location. If the user owned a resource, you must select a new owner for the resource.
Move Status: Displays the User Move Status tool while users are being moved.
Export:
Click Export to generate a comma-separated values (CSV) file from the list. Use Customize Columns to add and order the columns as needed before you generate the CSV file.

Moving GroupWise Accounts
A user owns a mailbox in a GroupWise post office. User information might be imported from and synchronized with a user in an LDAP directory such as NetIQ eDirectory or Microsoft Active Directory.
When you create a GroupWise user in the Admin console, you create it in your GroupWise system, independent from any LDAP directory. To add a new user to GroupWise from an LDAP directory such as NetIQ eDirectory or Microsoft Active Directory, use System > User Import.
User Name: Specify a user name that is unique within the user’s Internet domain, so that a unique email address is produced (user_name@internet_domain). Do not use invalid characters.
First Name: Specify the user’s first name or given name.
Last Name: Specify the user’s last name or surname.
Post Office: Select the post office where you want to create the user’s mailbox.
The new user’s initial email address is determined by the Preferred Address Format setting at the system, domain, or post office level. The user also has additional valid email addresses based on the Allowed Address Formats setting established at the same level.
If any of the new user’s valid email addresses are already in use in your GroupWise system, you receive a warning. Use System > Email Address Lookup to search for existing email addresses so that you can resolve the situation.
If the standard email address for the new user is not acceptable for some reason, you can set a Preferred Email ID on the User object to define a custom email address.

An external user represents a user in an external GroupWise system or a non-GroupWise system. An external user belongs to an external post office and does not have a mailbox in the local GroupWise system.
You can add external users to your local GroupWise system so that their names and email addresses appear in the GroupWise Address Book and are therefore easily available to local GroupWise users.
User Name: Specify the user name portion of the user’s email address in the external GroupWise system or the non-GroupWise system.
Domain: Displays the external domain where you are creating the external user.
Post Office: Displays the external post office where you are creating the external user.
After you create the external user, provide personal information about the external user on the General tab of the External User object.

By default, the information you provide in the Description field displays in the Comments field of the user’s contact information in the GroupWise Address Book. If necessary, you can suppress the display of the user descriptions (Domain object > Address Book tab > Do Not Display User Comments field).
Provide phone number information for the user.
Provide job description information for the user.

A Calendar Publishing Host makes users' GroupWise personal calendar information publicly available to users across the Internet. Internet users can view calendars and free/busy information for GroupWise users who have published their calendars. The calendar browse list provides a list of published calendars to choose from.

LDAP DN: Displays the distinguished name of the user in the LDAP directory.
Directory: Displays the name of the directory (such as NetIQ eDirectory or Microsoft Active Directory) as it has been configured in GroupWise (System > LDAP Servers).
LDAP GUID: Displays the permanent identifier for the user in the LDAP directory. The LDAP GUID remains constant, even if the user is renamed or moved in the directory. Synchronization between GroupWise and the directory is based on the LDAP GUID, not on the user’s LDAP DN.
First Name: Displays the user’s first name as currently defined in the directory.
Last Name: Displays the user’s last name as currently defined in the directory.
Email Address: Displays the user’s email address as currently defined in GroupWise on the Internet Addressing tab.

File ID: Displays the user's unique file ID (FID). The FID is used when generating names for files and folders associated with the user, such as the user's database, archive folder, and remote/caching folder.
Restore Area: Displays the restore area, if any, that the user could access to restore deleted mailbox items from backup.
A restore area is set up using System > Restore Area Management.
Visibility: Select the visibility level for this user.
External Sync Override: If your GroupWise system links to and synchronizes with another GroupWise system, select the external synchronization policy for this user.
Synchronize According to Visibility: The user information is synchronized to external systems only if visibility is set to System.
Synchronize Regardless of Visibility: The user information is always synchronized to external systems regardless of the object visibility.

LDAP Authentication: (Conditional) If you need to override the user name for authenticating to the LDAP server, specify the user’s LDAP DN in the format used by your LDAP server. For example:

Expiration Date: Disables the GroupWise account on the specified date. After the account is disabled, the user can no longer access it, and messages addressed to the user are no longer accepted by GroupWise.
Force Inactive Status: Marks a mailbox as inactive, even if it has been less than 60 days since a user logged into it in any way that would require a Full Client License or a Limited Client License.
Disable Logins: Prevents the user from accessing his or her GroupWise mailbox until you deselect the option.
You can also disable logins for all users in a post office (Post Office > Client Settings).

The Internet Addressing tab on the User object lets you override the system-level Internet addressing settings (System > Internet Addressing > Address Formats), the domain-level settings (Domain object > Internet Addressing), and the post-office level settings (Post Office object > Internet Addressing).
Select Override next to the Internet addressing option that you want to change, then select the setting for the user.
The GWIA can work with the following email address formats that are based on user-name information:
User Name@Internet domain name
Last Name.First Name@Internet domain name
First Name.Last Name@Internet domain name
First Initial Last Name@Internet domain name
User Name.Post Office@Internet domain name
The allowed address formats are supported for incoming messages and for POP3/IMAP4 logins. Messages can be delivered to recipients if any of the allowed formats have been used in the incoming email address.
Select the address formats that you want the GWIA to accept into your GroupWise system. If a message arrives with any other address format, the message is not delivered to the recipient, and the sender receives an undeliverable notification.
IMPORTANT:Because the allowed email address formats apply to POP3/IMAP4 logins, do not deselect User Name@Internet domain name if you have POP3/IMAP4 users. This will prevent them from logging in to their POP3/IMAP4 accounts with their GroupWise email addresses, and using a different login format will be inconvenient for them.
The preferred address format is used for email addresses in the GroupWise Address Book and in the To field of outgoing messages. Recipients of messages from your GroupWise system reply to email addresses in the preferred address format.
Preferred Email ID: Specify the user name portion of the user’s email address. It must be unique within the user’s Internet domain, so that a unique email address is produced (user_name@internet_domain). Do not use invalid characters.
Select the default Internet domain name for this user’s email address.
For Incoming Mail, Recipients Are Known Exclusively by This Internet Domain Name: Accepts only email addressed to the selected Internet domain name, even if another valid Internet domain name is used. A valid Internet domain name is any domain name defined at the system level (System > Internet Addressing > Internet Domains).
For example, suppose that your system has two Internet domain names: example.com and gw.example.com. You select gw.example.com as the Internet domain name for this GroupWise domain and select this option. Joe Smith, a user in this domain with a user ID of jsmith, would receive messages addressed to jsmith@gw.example.com but not messages addressed to jsmith@example.com, even though example.com is a valid Internet domain name for your GroupWise system.

GroupWise provides three levels of administrator rights for users:
System: A GroupWise system administrator has full administrator rights to all aspects of the GroupWise Admin console, under the supervision of the GroupWise Super Admin.
Domain: A domain administrator has administrator rights just for a single domain, and for all post offices and users within that domain.
Post Office: A post office administrator has administrator rights just for a single post office, and for all users within that post office.
An administrator can be any GroupWise user, not necessarily a user whose mailbox resides in the domain or post office where administrative rights are granted. An administrator uses the same password to access the GroupWise Admin console that is used to access his or her mailbox.
Administrator List: Lists the administrator rights that have been granted to the user.
Add: Click Add, then click the administrator right to grant. As needed, select a domain or post office, then click OK.
Remove: Select an administrator right, then click Remove to remove that right from the user.

A group is a set of GroupWise users that is defined at the GroupWise system level by a GroupWise administrator. GroupWise group membership might be imported from and synchronized with an LDAP group in an LDAP directory such as NetIQ eDirectory or Microsoft Active Directory.
Groups List: Lists any groups where the user is already a member.
Add: Click Add to add the user to a group, select a group, then click OK.
Remove: Select a group, then click Remove to remove the user from the group.
Participation: Select a group, click Participation, then select the participation level (To, CC, BC) for the user.

A resource is a place or thing that users can schedule, such as a conference room, company car, or overhead projector. A resource can also be a role that can be owned by various users.
Resources List: Lists any resources that the user already owns.
New: Click New to add a new resource.
Delete: Select one or more resources, then click Delete to remove them from the list.
Move: Select a resource, then click Move to move the resource to a different post office.

A nickname is an additional address for a GroupWise object (User, Group, or Resource) that facilitates the object’s availability in the GroupWise Address Book. A gateway alias is an alternate address that conforms to the format requirements of a non-GroupWise email system that a legacy GroupWise gateway connects to.
Gateway Aliases List: Lists the gateway aliases that have been defined for this user.
Add: Click Add to create a new gateway alias.
Remove: Select a gateway alias, then click Remove to remove it from the list.

You can enable a GroupWise user to modify GroupWise system groups by editing them in the GroupWise Address Book in the GroupWise client. This functionality is not available in GroupWise Web.
Group Administration List: Lists the GroupWise system groups that the user has rights to modify in the GroupWise client.
Add: Click Add, select a group, then click OK to add it to the list.
Remove: Select a group, then click Remove to remove it from the list.

Password / Confirm Password: To reset the user’s password, type the same password twice, then click OK. Notify the user that the password has been changed.
Clear User’s Set Password: To remove the user’s password, select this option, then click OK. Notify the user to set a new password promptly.

After you have created a GroupWise-only user or group, you can later associate them with a user or group in an LDAP directory such as NetIQ eDirectory or Microsoft Active Directory.
Directory: Select the LDAP directory where the user or group is located.
LDAP User/Group: Select the user or group in the directory.
You are prompted to provide a valid LDAP user password in order to access the LDAP directory. The password is not permanently retained for subsequent use in the Admin console.
Override current GroupWise picture if image exists on the directory server: If selected, imports the photo associated with the user from LDAP if on exists. Any photo stored in the GroupWise system is overwritten.

After you have imported a user or group from an LDAP directory (such as NetIQ eDirectory or Microsoft Active Directory), you can dissociate it from the directory, so that it is a GroupWise-only user or group.
Any user or group information that was originally transferred from GroupWise into the LDAP directory is removed from the directory when the user or group becomes a GroupWise-only object.
Directory: Displays the directory (such as NetIQ eDirectory or Microsoft Active Directory) from which you imported the user or group.
LDAP User/Group: Displays the fully qualified object name of the user or group.
Verify that you are dissociating the correct user or group, then click OK.
You are prompted to provide a valid LDAP user password in order to access the LDAP directory. The password is not permanently retained for subsequent use in the Admin console.

A restore area is a folder where you place a backup copy of a post office so that you or GroupWise client users can access it to retrieve mailbox items that are unavailable in your live GroupWise system. The items might be unavailable because of accidental deletions by users or because of database damage.
If the user or resource is not yet a member of a restore area, use System > Restore Area Management to provide membership.
Click Yes to restore the contents of the backed up mailbox into the live mailbox. Notify the user or resource owner and explain the following about the restored items:
The user might need to manually delete unwanted restored items in the live mailbox.
The user should file or archive the restored items that he or she wants within 7 days. After 7 days, unaccessed restored items are deleted from the live mailbox after the amount of time allowed by existing auto-delete settings (Client Options > Environment > Cleanup tab). If auto-deletion is not enabled, the restored items remain in the live mailbox indefinitely.

The Information window can be displayed for most GroupWise objects. It summarizes useful statistics about the selected object. This information is useful in assessing the size of your GroupWise system and the current license usage.
Object information: Tallies the number of objects that belong to or are related to the selected object.
Mailbox information: On Domain and Post Office objects, lists mailbox and license statistics for users in the domain or post office. On User objects, displays current mailbox size. By default, the information is gathered for the last 60 days.
Run Audit Report: On Domain and Post Office objects, click Run Audit Report to update the mailbox and license statistics to current values.
The Display Object window can be displayed for all GroupWise objects. It provides detailed object attribution information about the selected object. This information is useful to third-party developers who are developing products that interact with GroupWise.
Attribute ID: Displays the internal, five-digit attribute ID used in the GroupWise Admin API.
Description: Displays the human-readable name of the attribute.
Value: Displays the value that the attribute currently has on the selected object.

In general, replication of object information occurs automatically. However, because unavoidable events such as power outages and hardware failures can disrupt network connectivity, information in various GroupWise databases might become inconsistent.
The best way to perform replication is to be connected to the domain that owns the object that is inconsistent in your GroupWise system. The next best way to perform replication is to be connected to the primary domain. This is because the primary domain sends a request to the owning domain for the correct information, and then broadcasts the correct information to all secondary domains.
